Larger Scale Events
Planning a large-scale event in York?
Larger scale events often require additional planning and coordination to ensure they are safe, well managed and suitable for the proposed location. Engaging with us early will help identify any requirements and keep your plans on track.
Is my event considered large-scale?
Your event may be considered larger scale if it includes one or more of the following:
- A large expected attendance
- Temporary stages, marquees or other significant infrastructure
- Road closures or traffic management
- Live entertainment or amplified sound
- Food and drink traders
- Fireworks or other special activities
- Complex health and safety arrangements
- Multiple contractors or event partners
If you’re unsure whether your event falls into this category, please contact our Events Team for advice before submitting an application.
Complete a Safety Advisory Group (SAG) Application
Larger scale events may require consideration by York’s Safety Advisory Group (SAG).
The Safety Advisory Group brings together organisations such as emergency services, highways, environmental health and other partners to help organisers plan safe and successful events.
If your event requires SAG involvement, you’ll need to complete a SAG application as part of the planning process.
Events Toolkit
Our toolkit provides practical guidance to help you plan your event.
Whether you’re organising an event for the first time or have previous experience, the toolkit is designed to support you through every stage of planning.
Timescales
Larger scale events require careful planning and often involve multiple organisations.
We recommend contacting the Events Team as early as possible, with documentation being submitted a minimum of three months prior to the event date, allowing enough time for planning, approvals and any required consultations.
